Bookings
A booking will be secured once you have been given a booking reference and venue details and equipment hire has been agreed in an email from both parties. Upon making a booking you abide by our terms and conditions. Proscreens will then be guaranteed at your event on that date and time.

Payment Terms
. Payment will be required in full upon or before set up unless otherwise agreed.
Documentation and New Supply Forms
If you require a new supply form, it must be requested at the time of booking, not after the job has been completed. Some forms require sensitive personal data, which we prefer not to share. By requesting the necessary forms in advance of booking, we have the opportunity to review your request and, if necessary, decline the booking.
business to Proscreens late payments
When booking proscreens for an event you are entering a credit agreement if you are not able to pay your invoices on time then there is an admin charge of £150 and interest of 8.7% per month of the outstanding invoice
Cancellation of Booking
if the cancellation occurs within 7 working days of the delivery date, the customer shall incur a cancellation charge equal to the full rental charges unless otherwise agreed.
Safety
Proscreens technicians have a duty to observe safe working practices at all times. Should a technician deem something unsafe he has the right to enforce changes. Health and Safety is the sole responsibility of the hirer whilst using the equipment supplied by Proscreens.
Equipment on Hire
The customer will take care of the equipment from the time of arrival to the time of collection. Any damage (other than fair wear and tear) will be repaired by Proscreens or their appointee and will be charged to the customer. If any of the property is lost or stolen during the hire period, or extensions thereof, Proscreens reserves the right to charge the customer the retail price of the lost or stolen item/s.
It is the responsibility of the client to supply a sufficient power source with sufficient earth to the location where needed by our technicians. Any equipment damaged by improper power supply or surge will be the responsibility of the client.
Screen hire
Screen sizes quoted are the actual picture size. The height of the whole screen will be higher due to legs that it comes mounted on. You will need to add 4ft to the height to allow for legs. It is the clients responsibility to make sure the screen hire actually fits the location they wish it to be. We recommend a site visit by one of our technicians which maybe chargeable.
For health and safety reasons the screens can only be set up and dismantled by Proscreens employees.
Proscreens will supply all equipment in a safe and usable condition. Equipment is visually checked and tested upon return. Equipment is also checked prior to set up. All electrical equipment is regularly PAT tested. Equipment will be delivered in good working order. Unless notice is received to the contrary as soon as reasonably possible and in any event no later than within 24 hours of delivery. Equipment will be deemed to be in good working order, except for any defects not detectable by reasonable examination.
In the unlikely event any equipment should fail while on hire, the client should advise Proscreens by telephone or email as soon as possible. The client should not attempt to repair any equipment without Proscreens permission.
We reserve the right to impose additional charges at the end of hire period if the equipment on hire is not available to collect upon agreed collection time.
Delivery and Set-up
It is the client’s responsibility to ensure the venue is ready for the installation of the equipment at the agreed time, if our technician is delayed due to the venue not being ready a charge of £50.00 per hour may be charged.
It is the client’s responsibility to inform Proscreens if there is no parking available on site. Any costs incurred due to Proscreens having to find parking elsewhere will be charged to the client unless otherwise agreed beforehand.
Insurance
The customer will insure the equipment during the rental period for all eventualities. Proscreens does not accept any losses incurred directly or indirectly in the unlikely event of equipment failure.
Weather Conditions
In the event of adverse weather conditions or other acts of God, it may be necessary for us to halt or cancel the event in the interest of public safety and the safety of our employees.

1. Acceptance of Terms
By utilising the services provided by Proscreens, including accessing our website, making
reservations, or renting screens, you acknowledge and agree to abide by the following Terms and
Conditions. If you do not agree with any part of these terms, kindly refrain from using our services.
2. Rental Agreement
2.1. Upon hiring screens from Proscreens, and receiving a booking reference number, you enter
into a formal Rental Agreement. This agreement outlines the terms of use, rental duration, rental
charges, deposit (if applicable), and the responsibilities of both parties. The Rental Agreement
supersedes any previous communications or understandings and the terms of which abide by
their respective sections of these terms and conditions.
2.2. It is imperative that you thoroughly review and understand the terms stated here before
proceeding with the rental process.
3. Screen Usage and Care
3.1. You agree to the rented screens solely being used for their intended purpose and operated by
a Proscreens Audiovisual Engineer in compliance with the manufacturer’s instructions and
industry best practices. Any modifications or alterations to the screens by any person(s) not
authorised by Proscreens to do so are strictly prohibited.
3.2. You are responsible for the proper care and maintenance of the rented screens during the
rental period if no Proscreens Audiovisual Engineer is present. This includes protecting the
screens from damage, ensuring they are stored in a safe and secure location, and safeguarding
them against adverse weather conditions.
3.3. Any damage, loss, or deterioration of the screens beyond normal wear and tear during the
rental period could result in additional charges upon investigation. You will be informed of the
charges and the associated cost of repairs or replacement if applicable.
4. Payment and Billing
4.1. The rental charges, deposit (if applicable), and any associated fees are clearly outlined in the
Invoice and will be previously discussed via phone call and/or email communication for further
clarification. By providing your payment information, you authorise to charge the agreed-upon
amounts.
4.2. Payment details are handled securely, and your information will be used strictly for the
purpose of completing the transaction.
5. Deposit
5.1. In certain cases, Proscreens may require a deposit as a guarantee against potential damages,
losses, or cancellations.
5.2. The deposit will be deducted from the total charges specified on the invoice.
6. Reservation and Cancellation
6.1. To ensure the availability of screens, you may be required to make a reservation in advance.
The reservation details, including the rental period, will be discussed via email and agreed upon in
writing before the date of hire.
6.2. Cancellation or rescheduling requests must be made at least 14 days before the date of the
hire service. Failure to adhere to this policy, or to any other previous agreements may result in
charges or forfeiture of any funds already paid to Proscreens.
7. Liability and Insurance
7.1. Proscreens is not liable for any injuries, damages, losses, or liabilities arising from the use of
our screens during the rental period that are not, upon investigation, our fault. Even then, we are
not liable for any acts of god or any unavoidable/unpreventable scenarios.
7.2. Proscreens is insured with public liability insurance, the document for which is available upon
request.
8. Indemnification
8.1. You agree to indemnify, defend, and hold harmless Prosceens, its affiliates, and employees
from any claims, liabilities, damages, costs, and expenses arising from your use or misuse of the
rented screens, including any violation of these terms.
9. Governing Law and Jurisdiction
9.1. These Terms and Conditions are governed by and construed in accordance with the laws of
the UK. Any disputes arising from or relating to these terms shall be subject to the exclusive
jurisdiction of the courts in the UK.
10. Modifications and Amendments
10.1. Proscreens reserves the right to modify or amend these Terms and Conditions at its
discretion. Any changes will be communicated through our website, and your continued use of
our services constitutes acceptance of the updated terms.
